POSITION INFORMATION

Role Summary
The Senior Leave and Disability Administrator provides subject matter expertise in the management and administration of employee medical leaves, worker's compensation, and STD/LTD benefit programs for Alaska Airlines. This role communicates with vendors, medical practitioners, employees, and attorneys, ensuring Alaska Airlines remains in compliance with all company, State, and Federal regulations. The Senior Leave and Disability Administrator operates with significant autonomy and uses professional judgment in managing leave and disability programs.

Scope & Complexity
This position supports employee leave and disability activities for Alaska Airlines.

Key Duties

*

Oversees employee medical leaves, worker's compensation, and STD/LTD benefit programs, with a focus on compliance and leave reduction.

*

Provides training, advice, and assistance to frontline management, employees, and union leaders in accordance with multiple, complex regulations and policies.

*

Uses discretion and independent judgment to interpret and apply relevant regulations and company policies and procedures.

*

Oversees and coordinates information with external service providers, including leave and disability vendor, crew medical support vendor, medical practitioners, vocational rehabilitation counselors, and attorneys.

*

Processes leave and disability quality assurance-related transactions and prepares related written correspondence.

*

Administers disability accommodations in accordance with State and Federal regulations.

*

Initiates the interactive process of accommodation, researches reasonable accommodation options, identifies and coordinates final accommodation, and prepares the company's written response.

*

Coordinates vendor resources, tracks accommodations, and prepares related reports.

*

Analyzes essential job functions and maintains all mandatory job analysis documentation.

*

Administers the modified duty program, with a focus on return from leave and reducing time loss.

*

Assists frontline leadership with identifying job assignments and related written correspondence in compliance with multiple regulations and policies.

*

Communicates information regarding return to work programs accurately and consistently.

*

Provides information to service providers and authorizes actions as needed, including policy exceptions.

*

Conducts regular departmental case staffing meetings with Alaska Airlines external service providers to ensure regulatory compliance and proper program management.

*

Authorizes and coordinates company medical exams and administers internal fit for duty exam procedures in coordination with the legal department and labor relations.

*

Reviews confidential exam results, communicates findings, and maintains mandatory confidential medical files.

*

Performs quality assurance audits, including vendor audits and station audits, and maintains related compliance documentation.

*

Maintains multiple databases and develops related reports (e.g., job analyses, disability accommodations, STD/LTD, medical leaves, fraud cases, etc.).

*

Assists with policy and procedural revisions, as well as special duties as assigned.

Job-Specific Skills, Experience and Education
Required

*

A minimum of 3 years of experience in the area of leave, worker's compensation, or disability discipline, or exposure to these areas as an HR Business Partner.

*

Excellent verbal and written communications skills, with the ability to think and write analytically.

*

Strong negotiating skills and the ability to resolve conflict.

*

Strong organizational and time management skills, with the ability to maintain thorough and accurate records while meeting tight deadlines.

*

Ability to interpret and apply regulations, policies, and procedures, including collective bargaining agreement (CBA) provisions.

*

Proficiency with Microsoft Office applications (e.g., Word, Excel, PowerPoint, and Outlook), as well as web-based vendor systems and PeopleSoft HRIS.

*

Must be dependable and self-motivated, with a willingness to continue one's professional development.

*

A positive and professional demeanor, with the ability to work collaboratively in a team environment.

*

Ability to maintain confidentiality.

*

High school diploma or equivalent.

*

Minimum age of 18.

*

Must be authorized to work in the U.S.

Preferred

*

A Bachelor of Arts or a Bachelor of Science degree.

*

Professional certifications (e.g., PHR, ARM or workers' compensation).

*

Knowledge of relevant regulations, including worker's compensation, leaves, and disability.

*

Strong presentation and training skills.
