To provide a full administrative support service to the Marketing Managers and their associated teams based in Yeovil for all activates associated with the Marketing of LH's Yeovil based Military portfolio.

Key Responsibility Areas

  • Annual budget - Overall Marketing Departmental budget administration for UK and produce monthly budget summaries. Reporting on any anomalies to senior Management including the Vice President of Marketing. Set up for following years budgets and assist the Head of Product Marketing with preparing the department's yearly budget submission document. This includes preparing the quarterly QRF2 report for Finance.
  • As Concur Super-User, provide support as required. Logging and clearing of Expenses through AW UK Concur system.
  • Manage any Marketing Event logistics for Yeovil site visits alongside Communications and External Relations including, security, Wi fi access, tours, venues, hospitality, gifts, photography, set up of IT, cars and escorting external visitors.
  • Arrange appointments and video conferencing which includes: venues/IT facilities and refreshments, as necessary for all Marketing personnel and nominated senior managers.
  • Ensure a coherent configuration control process is in place re all Product Marketing deliverables i.e. flyers/brochures/THF/TDH/SHI/etc.
  • On behalf of the Head of Product Marketing ensure that all "year end deliverables" are delivered on time and to the required quality.
  • Provide the Marketing focal point and manage the external exhibitions and events planning with LH External Relations and Communications for all activities to LH (Yeovil) interfacing with the Military Marketing Planning Manager.
  • Procurement - Raising of purchasing requisitions in SAP/ tracking/close out with payment of invoices via Accenture.
  • Prepare travel and accommodation arrangements by liaising with Amex for flights, visas, hotels, hire cars, chauffeurs and money as required for Marketing UK based personnel.
  • Collect and distribute post; collating and forwarding post for staff at other AW offices, including overseas.
  • Departmental DSE Assessor and point of contact for DSPOC.

Skills, Qualifications & Knowledge Required

  • A sound educational background, with a good knowledge of English language.
  • RSA (or equivalent) Level III Typewriting / Word Processing.
  • The jobholder should have a good working knowledge of MS Word, PowerPoint and Excel.
  • Relevant secretarial skills/experience required as well as excellent administrative and communication skills, together with the ability to adapt to all situations and also be able to relate easily and professionally to people at all levels.
  • Concur Superuser.
  • DSE assessor and HSE auditor skill set is desirable.
