Job Summary


The Planning and Reporting Coordinator leads the resource planning for the Station. The post holder will ensure the delivery of seasonal planning and rostering to operational departments in line with approved KPI’s and carrier SLA’s. The post-holder will ensure planning is delivered to agreed timescales and in line with standards, driving initiatives to improve productivity and financial control. The role will work closely with the Financial Controller and Operational Managers to provide accurate reporting to support the effective monitoring of financial and operational KPIs.

The post holder will be instrumental in ensuring the operation has the resources required to meet business needs within the financial parameters provided.

Key Responsibilities
  • Responsible for  the timely and accurate delivery of departmental planning to the business providing operationally deliverable resourcing within the agreed budget and adhering to the defined standards to ensure effective financial management of labour
  • Lead and manage the planning team ensuring they deliver a collaborative and proactive resource planning function to the business. Driving productivity, delivering in line with KPIs and engaging in operational improvement initiatives.
  • Identify and implement changes to rosters, patterns and planning to improve efficiency and productivity. Working collaboratively with departmental heads, managers, Trade Unions and staff to negotiate outcomes. 
  • Provide robust planning scenarios  for tenders, costings and decrementals in line with business requirements delivering against tight deadlines
  • Work with the Training Manager to ensure all training is planned in line with statutory and company requirements, identifying the most effective way of scheduling to minimise cost to the operation
  • Implement processes to deliver management information to operational departments to enable local financial control and shift management, including but not limited to;
    • Attrition tracking – real-time information on heads and hours vs. budget
    • Skills tracking – skills vs. requirements
    • Equipment planning 
  • Act as expert for resource planning in operation (staff & equipment) and as application manager for Swissport’s standard tools with responsibility for the tools including technical trainings and roll-out.
  • Lead the planning input in to budget processes in line with defined timescales and support the financial analysis and correlation of data. 
  • Provide management reporting to the Station to support the monitoring of operational and financial KPI’s.
  • Develop and implement a reporting framework in order to deliver timely and accurate information.

Qualifications & Competencies

  • Experience of ground handling / aviation
  • Experience of resource planning and SWP planning tools 
  • People management experience
  • Demonstrable understanding of P&L and financial/budget management
  • Ability to influence without authority and negotiate positive outcomes
  • Flexibility and time management, ability to manage conflicting requirements 
  • Integrity and honesty  - the role will deal with commercially sensitive information
  • Minimum of 4 GCSE’s grade A-C including English and Maths (or equivalent);
  • Excellent oral and written communications;
  • Excellent IT Skills including (Word, Excel, PowerPoint) Advanced Excel will be considered an advantage;
  • Ability to work closely with other departments and managers;
  • Excellent attention to detail;
