ZENETEX specializes in management and technology support services for a variety of federal agencies and commercial organizations. We have an opportunity for an experienced Executive Assistant to support The Office of the Assistant Secretary of the Navy (Financial Management and Comptroller) (OASN(FM&C)), Office of Financial Operations (FMO). This Office is responsible for setting Financial Management (FM) policies and procedures within the Department of the Navy (DoN) and representing DoN FM interests for Department of Defense (DoD) initiatives. Primary Duties and Responsibilities * Manage the day-to-day operations of the office, maintain a professional work environment by knowing Senior Executive Service (SES) protocols, maintain the Front Office space so that it is presentable and appropriate for a Deputy Assistant Secretary of the Navy (DASN) level office * Provide exceptional support for a wide range of administrative and clerical functions in a fast-paced and demanding environment, ensuring efficient and effective operation of the Office * Key executive administrative/clerical responsibilities include, but are not limited to: Travel Support, Supplies, Calendar Management, FMO Audio Lines for Conferences, Chief of Naval Operations (OPNAV) Tasker Management, Recall Roster, Document/File Management, Motor Pool Reservation, Develop FMO Correspondence, Visit/Phone Reception, Visit Requests, Mail Pickup, Copy, Print, Scan, Shred, Fax, Briefings and Day Books, and Office Support for Senior FMO Leadership (Senior Executive Service, Specialist Leader and Navy Captain levels). * Coordinate with appropriate stakeholders to include DON/AA, FM&C, Financial Management Human Capital (FMH), Financial Management Administration (FMA), Echelon I, II and II Commands, other Secretariats, etc. Education and Experience Requirements * Bachelor’s Degree from an accredited college or university. At the discretion of the Government, seven (7) years specialized experience may be substituted in lieu of specific educational requirements * Minimum of four (4) years of proven experience as an executive administrative assistant, with at least two years REQUIRED supporting high level military (Navy) or civilian officials * Highly preferred experience providing executive administrative support to high ranking Federal Government Senior Executive or DOD Flag/General Officer * Ability to execute and lead tasks for mid-level Executives (SES/FO/O6/GS15) and independently lead teams to find solutions to problems * Effectively and professionally interact with government, military or contractor personnel in a dynamic office setting * Position requires full comprehension of office management systems and procedures and experience with DOD/DON systems/applications such as DTS (travel), EMALL (supplies), TV5/DON Tracker (task management) * Must possess excellent verbal and written communication skills, exemplary planning and time management skills, and ability to multitask and prioritize daily workload * Must be proficient in MS Office to include Word, Project, Power Point, and Excel * Experience developing, reviewing and editing Navy correspondence IAW SECNAVINST M5216.5 * Knowledge of MS SharePoint * Demonstrated understanding of DON organizational structure/hierarchy, rank and grade structure and SES protocols Security Clearance * This position will require U.S. citizenship and an active DoD Secret clearance.
