Key Responsbilities:

* Reports to the Senior VP Marketing
* Assists the Marketing department leadership to meet deadlines and provide support in managing projects

* Manage interactions at all levels of the organization, internal and external partners, vendors both domestic and global

* Direct and assist with arrangements for events, presentations, and meetings
* Type correspondence, charts/graphs and other written and presentation materials

* Administer the travel needs and services for the department; serve as a point of contact for I.T, Facilities and Accounting departments, vendors and suppliers; administer department contracts and agreements; process travel reimbursements for SVP

* Manage calendars of the management team and coordinates meeting logistics, manage incoming mail; answer and direct telephone calls into the department

* Communicate information, take messages; send/receive facsimiles; creates and maintains filing systems; orders business cards, process invoices, completes appropriate paperwork as needed

* Facilitates communication at all levels within the department and the Company, external customers, agencies, and organizations

* Point of contact for company cellphone: Mobile Ambassador for Corporate account and assist staff with account issues

* Coordinates with Facilities on space planning, maintains seating chart and assists with department moves

* Works with HR, I.T. and Hiring Manager on New Hire onboarding; submits requests for non-standard hardware, software and system access through the IT portal and follows up until completed

* Other duties as assigned by SVP

Requirements

Minimum Requirements:

* High School diploma or equivalent education
* 5 years of experience in an administrative assistant or support role
* Excellent verbal and written communication skills for interaction with all levels of the department at the Company and the public

* Successful track record of effectively and independently prioritizing between multiple important tasks on a daily basis and implementing process improvements in order to facilitate the flow of information in a department in a timely and efficient manner

* Proven ability to follow-up on all matters with a detail orientation
* Ability to work independently while maintaining an energetic and positive attitude

* Proven ability to establish productive working relationships with all levels throughout the Company

* Ability to maintain the highest standards of discretion and confidentiality at all times

* High proficiency with MS Office (Outlook, Word, Excel and PowerPoint) and ability to work in other systems/applications

* Ability to work flexible hours for special projects, as needed

Preferred Qualifications:

* College degree
* Airline experience
* Executive Assistant experience
