Executive Assistant
1. Purpose of the position:
The Executive Assistant is responsible for managing the day-to-day activities of the office from facility management point of view. The role is also responsible for providing assistance to senior management staff on various issues including business travel, accommodation management and event organization. Furthermore the role is responsible helping out HR process management on site including assistance with payroll and other local provider management.

External connections: Facility management Supplier
Head of Human Resources
Air managers (all locations)
2. Responsibilities:
- Managing the day to day administration and the running of the office. Take full responsibility for the management of facility related issues including the day to day negotiation with related providers.
- Managing diaries, scheduling and co-coordinating internal and external meetings and conference calls.
- Event planning: organizing and arranging internal and external events involving large number of people and complex logistics.
- Organizing travel and related logistics for the organization and those who visit the office.
- Managing the day to day administration of local service and employment related issues. This involves help in correspondence between the payroll Company, employees and HR department.
- Administering the expenses. Air's relevant policies applicable.
- Keeping contacts with local authorities, suppliers and business partners on day to day matters.
- Acts as a first point of contact for employees on site for post-relocation issues and keeps regular contact in such cases with relocation agency and HR department.
3. Requirements:
- College or University degree;
- Fluent in English AND French (both speaking and writing);
- Strong sense of initiative, have the ability to anticipate needs and a proactive style to work on own projects and able to prioritize and work to tight deadlines;
- High degree of computer literacy;
- Relevant, at least 4-5 years' experience (Personal Assistant or Executive Assistant) at multinational environment;
- Excellent organizational skills, demonstrated experience in arranging large business events;
- Able to manage pressure and conflicting demands as well as priorities tasks from several managers;
- Can do attitude, positive, reliable and energizing;
- Excellent verbal and written communication;
- Attention to detail and the ability to deal with sensitive and confidential information;
- Strong interpersonal skills;
- Ability to research and source adhoc information independently;
- Applicants must be able to provide documentation to prove they are able to work in the EU.
